Student Grievance Policy

Purpose

Roosevelt International University of Baptist will serve to offer a balanced, respectful, and friendly academic setting. This Student Grievance Policy provides students with a methodical channel of presenting complaints or issues concerning any aspect of academic or administrative nature and also provides a fair, timely and unbiased resolution to such issues.

Faculty, staff conduct or unfair treatment

This policy covers grievances on matters that pertain to academic, administrative, faculty or staff conduct, discrimination, harassment or unjust treatment, and academic resources or program delivery. This policy is not applied in the field of disciplinary measures or criminal cases, which are regulated by other procedures.

Guidelines of the Grievance Process

The principles that guide the process of grievance are as follows:

  • Fairness and impartiality
  • Confidentiality
  • Timely resolution
  • Respect for all parties
  • Insurance against repercussions

Students will not be discriminated or punished because they have filed a grievance in good faith.

Informal Resolution (First Step)

Informal resolution is the first step that can be taken to resolve an issue when there is a conflict between two parties of the dispute for any reason. Students should endeavor to solve an informal grievance prior to making a formal grievance by:

  • Conversing with the faculty member, advisor or involved staff about the issue
  • Involvement in the Student Services Office
  • Open communication is capable of solving many issues in a very short time

Formal Grievance Procedure

In case of failure in informal resolution, the student can then use a formal grievance.

Step 1: Submission

The student should provide a written grievance which will contain:

  • ID and name of student
  • Description of the issue
  • Involved dates and individuals
  • Supporting evidence

Complaints are to be put forward to the Student Affairs or Grievance Committee.

Step 2: Review

The authority that is relevant in considering the grievance will be the relevant academic/administrative authority. The University may:

  • Ask to be given more information
  • Interview involved parties
  • Undergo academic or institutional examination

Step 3: Decision

The student will receive a written decision within a reasonable period of time explaining:

  • The findings
  • The decision or the action adopted
  • Any remedial actions (if needed)

Appeal Process

In case the student is not satisfied with the result, then the appeal can be made within the stipulated time in writing. Appeals must state the reason for the appeal, new evidence (if any), and procedural misjudgments (where necessary). The ruling of the Appeals Committee will be final.

Confidentiality

Any grievance products will be treated as confidential information that is not to be disclosed to any other person unless it is necessary to do so (stated by law or an institutional policy).

Fraudulent or Bad Faith Complaints

Making false or ill-intended complaints in full knowledge may also be penalized by the University under the Code of Conduct. The University keeps a list of complaints and solutions to ensure that it is improved and quality-assured.

Non-Retaliation Policy

The University vigorously does not tolerate any retaliation of any student who presents a grievance in good faith. Any act of retaliation will qualify as a serious offence of the University policy.

External Remedies

Once a grievance is not solved in a manner prescribed by the institution, the student can obtain external solutions in a proper legal or regulating institution, subject to the relevant laws.

Policy Review and Amendments

There should be periodic review and this Student Grievance policy can be revised by the University so as to promote fairness, compliance as well as constant improvement.

Applicability

This policy will cover every student of Roosevelt International University of Baptist in all the academic programs and learning forms.
